Executive Administrative Assistant

Responsibilities:
 
  • Handle complex calendaring, scheduling internal and external meetings with the ability to anticipate conflicts, solving scheduling issues as necessary
  • Arrange complicated domestic and international travel which may include developing itineraries and agendas, booking transportation, arranging lodging, and coordinating onsite and offsite meeting accommodations;
  • Manage logistics for both internal department meetings and high level external meetings
  • Support Executive Vice President/Chief Product Officer and Chief Technical Officer, as well as provide light support to others when needed
  • Solid project management skills and ability to successfully juggle multiple tasks and deadlines for multiple people
  • Handle confidential and non-routine information with care and facilitate communication between appropriate team members
  • Proactively follow up on action items on behalf of leaders as appropriate
  • E-mail, fax and copy documents and prepare and timely submit expense reports
  • Act as a back-up EA as needed for other Execs
  • Flexible schedule and reachable by phone and email after hours
  • Support Marketing Program Management team with various tasks

Skills & Ideal Experience: 
 
  • 3-5 years executive administrative experience, supporting C-level executives in a high volume, tech environment requiring the ability to think fast and problem solve
  • Experience with Microsoft Office 365 tools and applications – specifically Teams and Sharepoint
  • Experience using project scheduling and control tools to monitor projects plans, work hours and status
  • Experience in planning and coordinating activities defined as part of a project or product lifecycle process. 
  • Self-motivated individual, able to complete tasks timely with minimal direction
  • Technology-proficient; extremely comfortable with the latest technology and ability to navigate seamlessly between different tools and communication applications
  • Proficiency with Microsoft Outlook, Word, Power Point and Excel 
  • Strong project management skills with a high level of initiative and judgment
  • Exceptional interpersonal and communication skills, capable of working well with different personalities in a global organization
  • Proactive, detail-oriented individual with the ability to understand and help manage the executive’s business priorities
  • Bachelor’s degree preferred
