Position Overview

The Project Coordinator will be responsible for providing support to the development, construction, and asset management teams throughout the duration of any capital construction project or operational expenditures for existing assets.
The specific responsibilities shall include but not be limited to the following:
Accounts Payable (A/P):
  • A/P research as required to respond to vendor inquires and/or variances on statements
  • Pay application review for completeness, including; lien releases, insurance and/or change orders, then route for approvals
  • Retention release complete checklist requirements
  • Track contractor and vendor insurance on spreadsheet
  • Process weekly invoices for operational expenses
 Project Compliance / Administration:
  • Lender due diligence documentation requirements (GC contracts, assignments, etc.)
  • Coordinate Loan Administration with Lender, including loan draws, documents for construction loan review, Lender correspondence, Bank inspectors, etc.
  • Coordinate escrows, including timelines, Purchase and Sale Agreement (PSA), PSA amendments, extensions, deposits, wire requests, etc.
  • Update and maintain the master escrow tracker
  • Issue / receive / distribute / review /scan contracts, change orders, etc.
  • Work with legal on administrative changes to contracts
General:
  • Compose and/or file all Construction correspondence, contracts, change orders, etc.
  • Special projects and/or other tasks assigned by Supervisor, including but not limited, calendar appointments, scheduling travel, filing documents, printing materials, etc.
  • Track bonds and follow up to ensure they are released timely
 Supervisory / Management Responsibilities:
  • None at this time
 Education and Experience:
  • Experience with commercial construction administration
  • High energy individual adept at working in a fast-paced environment
  • Ability to work effectively in a team environment
  • Can maintain meticulous attention to detail
  • Ability to prioritize, plan, organize, and coordinate multiple tasks and assignments
  • Knowledge of computer systems principles and procedures, including knowledge of Microsoft Outlook, Excel, Word, PowerPoint, Project and other relevant software
 Other Important Data:
  • This position reports to the Senior Project Accountant
  • Must reside within reasonable commuting distance to San Ramon, CA
